The following is the actual mitigation plan submitted to DCNR.  You will see that it is somewhat flexible; this is because the Covid-19 situation for June is completely unpredictable.

Covid-19 Mitigation

The way the pandemic has been going, it is impossible to predict what conditions will be like at the beginning of June.  We are going to assume that use of masks and social distancing are still going to be required.  We are also assuming that there may be state, county or DCNR restrictions on occupancy for Rec Hall.  This document describes the mitigation actions we will be prepared to take for the June 5-6 event. 

Prior to the event, we will notify all participants about the mitigation procedures and the requirements regarding masks and social distancing.

1.  We will require everyone to wear a mask and use social distancing when in or around Rec Hall.  Anyone who arrives without a mask will be given one.  We will also provide hand sanitizer at several locations in and around Rec Hall.  Hand sanitizer will also be placed at each water stop on the courses.

2.  We will limit occupancy of Rec Hall to whatever the prevailing limit is during the activities that require entry to the Hall. There will be 4 to 6 people in the Hall at all times administering the event. We will have someone monitoring access so that the limit is not exceeded during the following activities. Note: the limit of 125 specified in the Risk Management document is the absolute most we will allow; we expect that the prevailing restrictions in June will cause the limit will be fewer.

a.  Use of the restrooms.   We will also have two port-o-johns outside to reduce demand for the indoor ones.

b.  Event Check-In.  All participants will have been required to preregister; so, we will know how many people to expect.  Although we want to allow up to 125 people to participate each day, we will use the prevailing state/DCNR restrictions to limit that number.   The check-in period lasts about 90 minutes; people come in, pick up their registration packet and are then directed back outside or to their cars. They need not be inside Rec Hall for more than five minutes.

c.  Route Planning.  One hour before the race starts, maps are given out and a period of route planning takes place.  We will hand out the maps outside and require the route planning to be done outside or in cars.

d.  Downloading.  The race finish is just outside Rec Hall.  After finishing, participants will be required to put their mask back on to go inside and have their results recorded by downloading them.  After that, participants can either go to their cars or get the meal that we serve at the end of each race.

e.  The Meal.  The meal is served buffet style inside Rec Hall.  However, the eating will be required to take place outside or in the participant’s cars.

f.  Awards.  After the meal, we normally give awards to the winners in each class.  We will do this outside.
